RT @UKMedLibs: Tonight!! Our ##ukmedlibs chat on institutional repositories. Join us at 8pm: Tonight!! Our ##ukmedlibs chat on institutional repositories. Join us at 8pm: share your successes and ask your questions!
UKMedLibs @UKMedLibs
Well now, here we go with the first #ukmedlibs chat of 2018. Get comfortable and introduce yourselves around while I get organised. Your host tonight is @samanthaclare and lurking in the background are @tomroper and the newly married @Hollingtonn (congratulations!)
UKMedLibs @UKMedLibs
Tonight's #ukmedlibs will be focusing on institutional repositories (or IR if you find your fingers stumbling over that!)
UKMedLibs @UKMedLibs
This chat comes via a LKS management course project #ukmedlibs and they'd like to know more about what's out there. (and so would we all!)
UKMedLibs @UKMedLibs
There is a link on the K4H blog https://t.co/xs7FuWWjND which should be useful #ukmedlibs
UKMedLibs @UKMedLibs
#ukmedlibs
UKMedLibs @UKMedLibs
and so, on to the first question - What is your definition of a repository? #ukmedlibs (and don't forget to use the hashtag!)
Hugh Hanchard @hanchardh
#ukmedlibs Hugh from up north and one of those who worked on the toolkit
UKMedLibs @UKMedLibs
#ukmedlibs tagging in progress!! :-) https://t.co/rM2H7zcpfz
Holly Case Wyatt @Hollingtonn
Evening all, I’m Holly LKS Development Lead for London & the South East. Excited to learn about institutional repositories #ukmedlibs
UKMedLibs @UKMedLibs
#ukmedlibs - do tag!! The hashtag keeps the conversation together and helps with recording the conversation for retrieval! https://t.co/OY1bItniXO
Hugh Hanchard @hanchardh
#ukmedlibs I do not think there is a single definition and this confusion was evident from the survey we conducted
UKMedLibs @UKMedLibs
@cate_newell assets? What would you define as an asset? although that might be better answered in a later question tonight!! (hold fire!) #ukmedlibs
Hugh Hanchard @hanchardh
#ukmedlibs but Cates is a good one :-)
UKMedLibs @UKMedLibs
@hanchardh do we want a single definition? Does it need to be strictly defined or are we ok with the various definitions or does that make hazy? #ukmedlibs
UKMedLibs @UKMedLibs
@ricpaul and yours is different then? #ukmedlibs
UKMedLibs @UKMedLibs
@ricpaul is that a repository though? @HHLibService has a record of publications for Hampshire Hospital staff but @samanthaclare would hesitate to call that a repository. #ukmedlibs
UKMedLibs @UKMedLibs
and so on to question two: What are the potential benefits to the organisation of having a repository? #ukmedlibs
UKMedLibs @UKMedLibs
@Lifuinthelib fair point, but if we all come to a different understanding of what a repository is then does that make it difficult to create understanding across organisations? #ukmedlibs
UKMedLibs @UKMedLibs
@cate_newell @ricpaul it may be that they have signed away copyright?! makes it even more difficult. Would it be better to offer links to journal websites/databases? #ukmedlibs
Hugh Hanchard @hanchardh
some of the most valuable information to an organisation is that generated within the organisation - a repository can capture this (or attempt to!) #ukmedlibs
UKMedLibs @UKMedLibs
RT @hanchardh: some of the most valuable information to an organisation is that generated within the organisation - a repository can capture this (or attempt to!) #ukmedlibs
Holly Case Wyatt @Hollingtonn
In simple terms, having a repository of research published by the organisations employees is good evidence of the research undertaken #ukmedlibs
UKMedLibs @UKMedLibs
@ricpaul @cate_newell yes I agree - something that can be achieved and shows what we can do is a great start! #ukmedlibs
Caroline Storer @StorerCaroline
Saves staff time if they can quickly find the knowledge/information they need. Also a place to store and share organisational knowledge #ukmedlibs
UKMedLibs @UKMedLibs
@SueK4H so the question there is what do we mean by tacit knowledge - does the organisation agree the same definitions as the library team? Or who should define this? #ukmedlibs
Hugh Hanchard @hanchardh
@ricpaul @cate_newell @UKMedLibs #ukmedlibs some places start with simple pdf lists of publications....cheap (free) and easy
UKMedLibs @UKMedLibs
@AndrewBrown234 do you collect the dissertations too? #ukmedlibs
Caroline Storer @StorerCaroline
The knowledge needs and behaviours of organisations will vary so repositories will https://t.co/RXJtnPz81G
UKMedLibs @UKMedLibs
@abombolo @ricpaul @hanchardh politics?! Is it better to collect EVERYTHING or to be more selective and thoughtful? Should we be curating the contents of a repository? #ukmedlibs
Hugh Hanchard @hanchardh
@ricpaul @abombolo @UKMedLibs you can build it but will they come.....you could have the best most sophisticated repository in the world but it also needs the organisational culture to fill it #ukmedlibs
UKMedLibs @UKMedLibs
Time for question three, which we have already touched on here and there: How would you use a repository in your organisation i.e. what materials would you include? #ukmedlibs
UKMedLibs @UKMedLibs
@cate_newell @SueK4H you say footing the bill - do you have bespoke software or is that paying for staff time or other resources? #ukmedlibs
UKMedLibs @UKMedLibs
a very good point indeed. To have any value at all, it must be accessible by the organisation's staff and seen to have benefit. #ukmedlibs https://t.co/P63D6hK8S8
UKMedLibs @UKMedLibs
@cate_newell @SueK4H yes that's the next question - the conversation clearly leads that way and I am just getting ahead of myself!! #ukmedlibs
UKMedLibs @UKMedLibs
@ricpaul if that's the case, then I'd suggest that it would be easier to have two - one for HE and one for NHS - keeps it straight! But then you'll get the natural "cross-pollination" anyway! #ukmedlibs
Hugh Hanchard @hanchardh
Q3 use it for what meets your needs - that could range from research to posters and leaflets #ukmedlibs
UKMedLibs @UKMedLibs
@dpfgilroy yes as @samanthaclare I agree that the basic list of publications isn't strictly a repository, although it gives a good base on which to build #ukmedlibs
UKMedLibs @UKMedLibs
#ukmedlibs fair point - we need to make good use of our time whilst providing what the organisations wants from a respository. https://t.co/k6s6c30XDX
Caroline Storer @StorerCaroline
Q3 Best practice, current awareness bulletin content and lessons learned #ukmedlibs
UKMedLibs @UKMedLibs
@PDN_Kat @AndrewBrown234 yes I think that most students find that valuable, I know I did - just to get a feel for what is required and how to organise it. #ukmedlibs
UKMedLibs @UKMedLibs
one would hope that the Trust keeps these anyway, but to provide a central place means that the LKS becomes the place to go! #ukmedlibs https://t.co/UGhoq2yndh
Hugh Hanchard @hanchardh
@PDN_Kat @AndrewBrown234 we keep dissertations by staff for precisely that reason.... builds their confidence to get started #ukmedlibs
Holly Case Wyatt @Hollingtonn
@hanchardh @PDN_Kat @AndrewBrown234 Do you let staff access it? #ukmedlibs
UKMedLibs @UKMedLibs
@abombolo I think that there has be an understanding that we can only do so much, and perhaps not to do a retrospective repository (not actively anyway) and to concentrate on moving forwards? #ukmedlibs
UKMedLibs @UKMedLibs
it seems that there are a few out there with repositories and a few looking to see how to set one up so - next question coming up! #ukmedlibs
UKMedLibs @UKMedLibs
Question 4: Which options are you using or have you looked at? Dedicated solution, free solution or adapt something you already have? #ukmedlibs
UKMedLibs @UKMedLibs
@dpfgilroy @StorerCaroline outside the organisation you mean? I am sure that within the organisation the repository would be very useful - certainly within a learning organisation. #ukmedlibs
Hugh Hanchard @hanchardh
@Hollingtonn @PDN_Kat @AndrewBrown234 yes - those "donating" dissertations have given permission for others to view. Many of them are quite proud of their efforts and happy to share. More importantly many have a service improvement aspect so useful to the organisation to #ukmedlibs
UKMedLibs @UKMedLibs
remember your hashtags please (I'll let the twitter newbies off with a reminder or two!) #ukmedlibs https://t.co/vBGjsFF9q4
Hugh Hanchard @hanchardh
Q4 we use our existing library system for some aspects of a repository #ukmedlibs
Holly Case Wyatt @Hollingtonn
@hanchardh @PDN_Kat @AndrewBrown234 That’s great! #ukmedlibs
UKMedLibs @UKMedLibs
#ukmedlibs - presumably sharing within the organisation would be ok - or how far can data be annonymised. https://t.co/LJ98WBHDph
UKMedLibs @UKMedLibs
Is the LMS a viable tool for a repository? Bearing in mind that the South LMS is region-wide!? #ukmedlibs Would it get too big? https://t.co/bYaOg5O8Ua
Caroline Storer @StorerCaroline
@UKMedLibs @dpfgilroy #UKmedlibs within the organisation if it is relevant to other areas of the organisation
UKMedLibs @UKMedLibs
@BethRawson3 ooh - what's the KnowledgeArc? Is it a purpose built product? #ukmedlibs
UKMedLibs @UKMedLibs
@cate_newell numbered? is it ageing or becoming more expensive? #ukmedlibs - how would you plan to transfer all over if necessary?
UKMedLibs @UKMedLibs
@SueK4H yes the LMS is probably the one place to find it all, but how to consider Trust confidentiality? The capability of the LMS, consistency of cataloguing across LKSs? (playing devil's advocate!) #ukmedlibs
UKMedLibs @UKMedLibs
Question five is a joint one!: What are the barriers to implementing a repository ? What would help you to implement? #ukmedlibs
UKMedLibs @UKMedLibs
adding the hashtag again! #ukmedlibs And yes @suek4h is right - wider reach is good but I can see some Trusts being very wary. https://t.co/nKGtrdiSGM
UKMedLibs @UKMedLibs
@BethRawson3 so what would you recommend to those starting out - especially with copyright? Essentially is it better to link out to journal articles? #ukmedlibs
UKMedLibs @UKMedLibs
#ukmedlibs Blue sky thinking indeed - the national LMS for the NHS!! https://t.co/R05wApQGfv
UKMedLibs @UKMedLibs
@cate_newell sold indeed! All that hard work eventually comes to fruition! So essentially, never give up!! #ukmedlibs
UKMedLibs @UKMedLibs
RT @RBHT_Library:
UKMedLibs @UKMedLibs
sounds intriguing! Does anyone else use Sherpa Romeo? #ukmedlibs https://t.co/nao9cxiarP
UKMedLibs @UKMedLibs
@ricpaul @dpfgilroy what are your/Trusts/HEs priority!?!? how long's a piece of string! #ukmedlibs
UKMedLibs @UKMedLibs
collaboration (and pinching of ideas always works!) #ukmedlibs https://t.co/zc7NALwRXC
UKMedLibs @UKMedLibs
There's just about time for question six: How would you promote it to staff in the organisation? #ukmedlibs
Caroline Storer @StorerCaroline
@UKMedLibs #ukmedlibs Sherpa Romeo came up a lot in our research on the IR project
UKMedLibs @UKMedLibs
@dpfgilroy yes @HHLibService primarily serves two Trusts and would probably offer two repositories rather than a single one. #ukmedlibs
UKMedLibs @UKMedLibs
RT @Lifuinthelib:
UKMedLibs @UKMedLibs
@ricpaul @dpfgilroy you just need to clone yourself! :-) #ukmedlibs
Caroline Storer @StorerCaroline
Q6 Posters, Yammer or other social media/messageboards, inviting yourself to team meetings to promote, email signatures #ukmedlibs
UKMedLibs @UKMedLibs
trying again in the last few minutes for question six. #ukmedlibs https://t.co/VdxMEeIH8F
UKMedLibs @UKMedLibs
RT @StorerCaroline: Q6 Posters, Yammer or other social media/messageboards, inviting yourself to team meetings to promote, email signatures #ukmedlibs
UKMedLibs @UKMedLibs
a very good point indeed - how to identify what should actually go in the repository! #ukmedlibs https://t.co/b8BhcAU2Nl
UKMedLibs @UKMedLibs
and before we go, here's the k4h repository page again https://t.co/xs7FuWWjND #ukmedlibs
UKMedLibs @UKMedLibs
Also - thanks to @hanchardh @lesleyaallen1 , @dpfgilroy , Jackie McGuire, Vicky Bramwell, @StorerCaroline , @SueK4H for initiating the discussion! #ukmedlibs
